These terms apply to everything we sell. By booking, you agree to them.
We sell two different kinds of thing, and the rules differ between them:
- Clinic Products: coaching and court time only. Clinic Week, Two-Day Passes, single sessions. No accommodation, transport or meals.
- Trip Products: multi-day hosted travel including accommodation, transfers, activities and host support. Also covers add-ons such as room supplements and trip extensions.
1. Booking and payment
All prices are in US dollars. Payment in full confirms your place. We do not hold places before payment clears.
Card payments are processed by our payment provider. We don't store your card details.
If a price is displayed incorrectly due to an error, we'll tell you before taking payment and you can cancel without charge.
2. What's included
What you get is whatever is listed on the product page at the time you book. If it isn't listed, it isn't included.
For Clinic Products this means court time, coaching, and the equipment we provide on court. Accommodation, flights, visas, transport to and from the venue, meals, insurance and everything else is yours to arrange and pay for.
For Trip Products the product page sets out the accommodation, transfers, activities, meals and sessions included. International airfare, travel insurance, visa fees, lunches, alcohol, spa treatments, personal spending and gratuities are not included unless stated.
3. Cancellation by you
All cancellations must be sent in writing to jaron@thepickleballpassport.org. The date we receive your email is the cancellation date.
Clinic Products
- 30 or more days before your first session: full refund.
- Fewer than 30 days: no refund, but you may transfer your place to another player at no charge. Just tell us who is coming instead.
Trip Products
- 90 or more days before departure: full refund less a $500 per person administration fee.
- 60 to 89 days: 50% refund.
- 30 to 59 days: 25% refund.
- Fewer than 30 days: no refund.
These terms exist because we pay hotels, airlines and local operators in advance on your behalf, and those payments are not refundable to us.
Transfers
You may transfer a Trip Product booking to another person up to 30 days before departure at no charge, subject to our approval of the replacement guest and any supplier name-change fees, which you pay.
4. Minimum numbers
Some sessions and departures run only if a minimum number of people book. Where that applies, it is stated on the product page along with the date we confirm by.
If a session or departure does not reach its minimum, you may either move to another available session or date, or take a full refund of the affected portion. We are not liable for any travel, accommodation or other costs you have incurred.
5. Changes and cancellation by us
We may change hotels, restaurants, activities, venues, coaches, session times and running order where availability, weather, safety or circumstances require it. We will substitute experiences of comparable quality wherever we can and tell you as early as we reasonably can.
If we cancel a booking for any reason other than force majeure, you receive a full refund of what you paid us. That refund is our entire liability. We are not responsible for airfare, visa fees, insurance premiums, accommodation or any other cost you have incurred.
6. Travel insurance
For Trip Products, comprehensive travel insurance including medical cover, emergency evacuation and trip cancellation is a condition of travelling with us. You must hold a policy before departure and give us the details on request. If you travel without insurance you do so entirely at your own risk and against our advice.
For Clinic Products we strongly recommend travel and medical insurance. We provide no cover of any kind.
7. Passports, visas and entry
Valid travel documents, visas, vaccinations and entry permissions are your responsibility. Requirements change and you should check them yourself close to travel.
We are not liable if you are denied boarding, refused entry to Thailand, or unable to join any part of what you booked because of documentation. No refund is due in those circumstances.
8. Health, fitness and assumption of risk
Pickleball is a physical activity. Our trips involve full days, walking, heat, humidity and travel.
By booking you confirm that you are fit to take part, and that you will tell us in advance of any medical condition, injury, mobility limitation, allergy or dietary requirement that affects your participation or our duty of care.
You take part in all activities at your own risk. You are responsible for your own health, safety and belongings. We are not medical providers and do not supervise your health.
We may decline to let you take part in any activity where we reasonably believe it is unsafe for you or for others. No refund is due in that case.
9. Conduct
We may remove you from a session, trip or venue without refund if your behaviour endangers others, damages property, breaks local law, or makes the experience unreasonable for other guests. You are responsible for any damage you cause and for getting yourself home.
10. Photography and media
We photograph and film our sessions and trips, and we use that material in our marketing.
By booking you agree that we may use images, video and audio of you for this purpose, without payment. If you'd rather we didn't, tell us in writing before your first session or departure and we will respect that.
11. Force majeure
We are not liable for any failure or delay caused by events beyond our reasonable control, including natural disaster, extreme weather, epidemic or pandemic, war, terrorism, civil unrest, strikes, government action, border closures, airport or airline failure, or supplier insolvency.
Where force majeure prevents a booking going ahead, we will refund whatever we can recover from our suppliers, less costs we have already incurred and cannot recover.
12. Liability
Nothing in these terms excludes liability that cannot be excluded by law, including for death or personal injury caused by our negligence.
Subject to that, our total liability to you for any claim arising out of your booking is limited to the amount you paid us for it. We are not liable for indirect or consequential loss, including lost airfare, lost holiday time, or loss of enjoyment.
We use independent suppliers: hotels, airlines, transport operators, venues, guides and coaches. We select them with care but we do not control them and we are not liable for their acts or omissions.
13. Complaints
Tell us at the time. If something is wrong during a session or trip, raise it with your host immediately so we have a chance to fix it. Complaints raised only after the event are much harder for us to put right.

14. Governing law
These terms are governed by the laws of Thailand, and the courts of Thailand have exclusive jurisdiction.
15. Changes to these terms
We may update these terms. The version in force is the one published on this page on the date you book, so save a copy if you want one.
